Job Title: Office Manager (Temporary – Maternity Cover)
Location: Guildford, Surrey, UK
Hours: 22.5 hours per week
Salary: £19,897.00 per annum

The Role
We are looking for an organised, proactive, and personable Office Manager to join our team on a temporary part-time basis to provide maternity cover. This key role will ensure the smooth day-to-day running of our clinic operations in Guildford, supporting our clinicians and enhancing the overall client experience.
The ideal candidate will bring strong operational and leadership skills, with prior experience in a healthcare or clinic setting. This is an excellent opportunity to join a mission-driven organisation committed to excellence in neurodevelopmental care.
Key Responsibilities
• Oversee the day-to-day administrative operations of the clinic.
• Develop, implement, and maintain effective office policies and procedures.
• Manage clinic scheduling, diaries, and appointment systems.
• Lead on all financial operations including billing, payroll, and budget tracking.
• Supervise, train, and support administrative staff; manage rotas and approve annual leave.
• Coordinate recruitment, onboarding, and performance oversight of non-clinical staff.
• Ensure excellent client service standards are consistently upheld.
• Maintain accurate and confidential staff and patient records.
• Order medical and office supplies in a timely and cost-effective manner.
• Work collaboratively with the clinical team and Director to meet strategic goals and quality standards.
• Ensure compliance with relevant healthcare regulations, policies, and CQC standards.
• Use clinic software systems (e.g., WriteUpp, Xero, PeopleHR, etc.) for EMR, payroll, and scheduling.

• Confident decision-maker with the ability to work autonomously.
• Strong leadership qualities and team management experience.
• Quick learner with effective problem-solving and critical thinking skills.

Requirements
• Previous experience in office management or a senior administrative role (healthcare setting desirable).
• High level of computer literacy, including MS Office and scheduling/billing platforms.
• Understanding of clinical operations and confidentiality standards.
• Strong financial acumen with experience managing budgets and invoicing.
• Educated to A-level or equivalent; a degree in Health Administration, Business, or a related field is desirable.
• Professional appearance and conduct.
